We should lean heavily into our values, as well as our DEI principles. We encourage everyone at Vlogr, regardless of who and how you are communicating to utilise these guidelines to create effective and inclusive daily communication.

Default to Asynchronous Communication

🚆 Always favor asynchronous(async) communication over synchronous(sync) communication. Sync communication is costly, interrupts peoples’ thought processes, and hinders productive execution. When there is a need to use sync methods, ensure it is for the right reasons.

💡 Make it really easy for others to contribute.
- Enable others with a Notion doc, a Google form, or something similar to make sure you get what you need AND make it easy for others.
- Set clear expectations. If you need contributions, make that known who you need it from and by what date. E.G Please complete this by Monday 4th.
- Remind people. Don't be afraid to follow-up. Calendar events can also be useful. You could even have checkmarks for each individual person you'd like feedback from.

Reply to @tagged messages within 1 day
- Async communication has huge benefit in that it secures concentration time
- But at the same time, you need to be collaborative so that other team member can proceed with their tasks
- So let’s make it a rule to reply to tagged messages within 1 day
- You can reply all the tagged messages at the beginning of your day and concentrate on your work
- Or you can choose to do the ‘reply’ sessions 2-3 times a day. It is up to you.
Strive for Single Source of Truth(SSoT)
We have a lot of data and maintaining it is a big job.
There are a few SSoTs, depending on the data type and what team is using it:
- Notion SSOT - internal policies/procedures, country configuration information, team info, and routine note-taking.
- GitLab SSOT - product development: decisions, plans, summaries of discussion, etc.
- Workable SSOT - recruitment-related tasks, including process, notes, and offers.
- Salesforce SSOT - customer information, sales contacts, conversations and contracts.
This means that if you make a decision or change, you always conclude with documenting your decisions in the appropriate single source of truth. Slack (more details below) is a transient communication tool and should not be relied on as a source of truth.
